Personal Assistant, Penang (RM3000-RM4000)

Description

Job Descriptions:

  • To manage the calendar of Regional Director by coordinating for daily schedule, weekly & and coordinating and collating all relevant paperwork.
  • To set appointments and meetings for the Regional Director as requested including regular one-to-one meetings with various stakeholders.
  • Manage Director’s travel arrangements (including travel tickets, visas & accommodation).
  • Assist Director in researching and following up with the action on matters, which fall within the Director’s responsibility – chasing responses, triggering follow-up action.
  • Produce documents, briefing papers, reports, and presentations for the Director.
  • Undertake research for specific information using electronic resources and/or networking relationships with internal and external key stakeholders.
  • To advise the Regional Director of impending work deadlines for both internal and external commitments, e.g. reports, presentations, conferences, projects
  • To ensure appropriate systems and processes are developed and maintained to support effective and efficient day to day running of the Directors office
  • Support and organize corporate events and conferences managing databases and filing systems
  • Meet and greet visitors at all levels of seniority.
  • Any other duties as may reasonably be required by the Regional Director or the management.
  • Prepare and submit expense claims for Director.
  • Monitor and maintain office equipment.


Job Requirements:

  • Education / knowledge: Minimum Bachelor’s degree in any field with 5 years of relevant experience. Experience in a multinational company is an advantage.
  • Skills: Excellent and clear communications skills: (verbal and written) in English. Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • High Collaboration skills.
  • Possess high degree of confidentiality and accountability.
  • Independence: Willing to learn and able to multi-task. Good analytical, adaptability and problem-solving skill. Able to work independent with minimal supervision
